How to set up and manage quote settings?

In this article we are overviewing the "Quote settings" tab in your system management. The functionality of each of the fields is described. plus additional information connected to that field.

A quote is a form that precedes a policy and is presented to the client to include information about prices and terms. Also, a broker can collect mandatory or useful information about the client before continuing with the policy.  

General quote settings

Default sales channel sets the default sales channel on a quote form when a new quote is created. A sales channel is used to indicate the office/branch/team the sale has been initiated from and is great for reporting and backtracking. 

You can set "Sales channel specific quote settings" as "yes" or "no". When chosen as "yes", then you can apply more specific settings under "Sales channel" settings. 

Setting the "Default quote type" allows brokers to quickly send their quotes to clients via email. This action is triggered by the ‘Mail quote’ button present on the end of quotes. There are two options to send quotes to clients:

  1. Electronic quote (link) – a link generated by Insly will be included with the email which directs the client to the quote overview screen (which is different from the brokers view). If the client is happy to receive a quick link from where they can accept the offer then this is the option for the broker to go with.

  2. E-mail with PDF attachment – the pre-set PDF or multiple PDF’s are selectable with prefilled email text. If the broker prefers to send printable quotes then is the option to choose. The client e-mail is taken from the quote form and automatically added to the pop-up that opens. Choosing a default option will speed the process up even more.

Add decline reasons

Sometimes clients reject quotes, but to allow more information to be captured about what did not go right, the broker can offer feedback on the reject reason. There can be one of two options to set the default way of providing decline reasons:

  1. Free-text entry allows the broker to write a more detailed reason why the client rejected.

  2. List of specified reasons is a quicker option for brokers and better for reporting when there are large volume of policies going through the office. 

"Wording" and "Underwriter"

Check "Wording" box if you would like to have documents added to the newly created quote automatically. These documents can be edited under the menu tab "Quote document types". 

Select "Underwriter" box if the underwriter would like to see their username on the quote. This will also be visible to the broker and will help with communication between brokers and underwriters.

Quote number formatting

Quote Number Prefix

Quote number prefix creates a unique start for the quote number. For example, if the broker requires that all of their quotes begin with TheBestBroker, just add that to the free text field and all new created quotes will be named TheBestBroker1, TheBestBroker2, etc.

Quote Number Format

If the broker requires the quote to feature unique identifying numbering then this field will let the broker to choose the logic for it. Use the following letter to display different things:

Y – this will show the current year as a number. Add letter Y’s respectively to show more of the current year:

  • Y – 7

  • YY- 17

  • YYY – 017

  • YYYY – 2017 

M – this will show the current month as a number. Add letter M’s respectively to show more of the current month:

  • M – 2

  • MM – 12

D – this will show the current day as a number. Add letter D’s respectively to show more of the current day:

  • D – 9

  • DD- 29

N – this will generate the next in line number for the quote. Adding more N’s will show more 0’s before the number at hand (i.e. NNNN = 0001).

Use all of the following to combine a unique way of creating quote numbers. For example YYMMNNNN will show up as 17120001. 

Also, markings (- / _) can be added to the field to show for example MM-YY/NNN which is displayed as 12-17/001.

Public Interface URL

Public interface URL is used when sending electronic quote links to customers. The standard option uses an Insly generated link. 

Selecting the custom option lets the user to enter a unique URL that will precede the Insly offer token. This will, however, require more in-depth analysis and development, so should you wish to have more information, please contact our Technical Support.

Enable/Disable Quote Management

If you don’t need quotes in your setup, you have the possibility to disable quote management. This will lose the "Quotes" menu tab. Should you click this by accident, don’t worry - this will not lose previously created quotes or their data.
